Policies

The fine print, in plain words.

Please read these before your first appointment. They protect your time, your clinician's time, and the next person waiting for help.

  1. No-shows

Arriving on time and attending as scheduled is necessary to continue services. A fee applies when clients arrive late or not at all without the required notice of 2 business days.

Clients with frequent no-shows, late arrivals or late cancellations may be discharged from services.

All fees must be paid before your next booking.

  2. Late cancellations

Appointments cancelled with less than 2 business days' notice are late cancellations, and a fee applies.

Exceptions may be made when the session can happen by phone, online, or later the same day, based on your availability and your therapist's.

Give 2 business days' notice to cancel or reschedule.

  3. Late arrivals

A 1-hour session is typically 50 minutes with you, followed by 10 minutes for documentation and treatment planning. For the best outcomes, sessions must start and end on time.

If you arrive late, you are responsible for the full booked session. When using insurance, only the time used for therapy and documentation can be billed to your insurer. Late arrivals, late cancellations, no-shows and related fees are your responsibility.

Arriving more than 30 minutes late is billed as a no-show.

  4. Health Canada travel clients

Clients travelling to Thunder Bay must attend all scheduled sessions on time. Missed sessions mean additional out-of-pocket fees, and may lead to discharge from the travel program under Health Canada's policies.

Travel sessions are booked 30 to 45 days in advance. A missed flight and session means we cannot help someone else who is waiting.

  5. Using insurance

If you use coverage, such as FNIHB, IRS-RHSP, Blue Cross or VQRP, please bring valid ID and proof of insurance, which will be scanned into your clinical file.

You are responsible for knowing your coverage, like your policy maximum and which practitioner titles are covered, and for paying for booked sessions your insurer does not cover. We cannot direct bill private insurance. Pay at the time of the session and submit your receipt for reimbursement.
